Indoor Air Quality Support for FM Contracts
Independent indoor air quality assessors · Since 1999
Green Air Monitoring works as the indoor air quality and ventilation hygiene specialist within total FM and hard FM supply chains. We support the FM provider’s relationship with its client: agreeing a measurable scope, working through established helpdesk and access processes, and issuing evidence that the account team can use without reformatting technical findings. The service can support mobilisation, planned contract delivery or an investigation raised through the client’s workplace team.

Specialist delivery under your FM contract
We begin with the obligations already accepted by the FM provider, including asset lists, service frequencies, reporting deadlines, escalation routes and site protocols. Our survey schedule is then written to fit that contract rather than create a parallel process. We can receive instructions through the helpdesk, quote against agreed task categories and reference the client’s site, asset and work-order identifiers. Site communication remains coordinated with the account team, so responsibilities are clear from instruction through close-out.
- Planned IAQ surveys for occupied commercial buildings
- Independent TR19 Air, DTT and EVT/PVT ventilation hygiene assessment
- Targeted support for complaints, fit-outs and contract audits
- One technical contact for mobilisation and programme queries
Mobilising a new contract win
During mobilisation we review the building list, available IAQ records, ventilation registers, open complaints and contractual deliverables. Sites can be grouped by use, plant complexity, occupancy and evidence gaps. That review identifies where a baseline is needed first, where an existing result can inform frequency, and where ventilation hygiene should be added. We agree naming conventions before fieldwork begins so reports upload cleanly to the FM provider’s CAFM or document system. A phased start lets urgent evidence gaps move first while access and records for the remaining estate are assembled.
SLA alignment and escalation
The delivery plan records the timescales agreed for acknowledging instructions, arranging access, completing fieldwork and issuing reports. Where a finding needs prompt attention, we use the FM provider’s escalation route and identify the location, evidence, immediate control considerations and responsible discipline. Mechanical faults go to the HVAC contractor; hygiene work goes to the appointed cleaning contractor. We remain available to explain findings and independently verify completed action. This keeps technical judgement separate from remedial sales while helping the account team maintain a complete audit trail.
Contract KPIs
KPIs are selected during mobilisation and reported in the format agreed with the account team.
| Measure | Evidence | Review point |
|---|---|---|
| Survey completion | Completed visits against the approved programme | Monthly or contract review |
| Report turnaround | Reports issued within the timescale agreed for that instruction | Helpdesk close-out |
| Escalation | Material findings notified through the named route | At finding and review |
| Close-out | Actions, contractor evidence and verification status recorded | Until action is resolved |

Reports for the FM provider’s client
Each report can carry the agreed site references and follows a stable structure: scope, method, locations, operating context, results, interpretation, limitations and prioritised actions. A concise management summary supports the client meeting, while measurement tables and photographs preserve the technical evidence. Across several contracts, controlled terminology makes results easier to compare without hiding building-specific conditions. Portfolio summaries can show open exceptions and verification status, but they do not replace the individual site record.
Limitations and what this assessment cannot tell you

- Service levels and reporting dates are agreed during mobilisation rather than assumed
- Results describe the locations, occupancy and operating conditions assessed
- We do not provide duct cleaning or mechanical repair
- The FM provider retains responsibility for its client contract and contractor coordination
